Review and approve a draft invoice
Check a draft, then issue it - the point at which it becomes a fixed record.
Before you start
Start: the lease, Invoices tab Result: an issued invoice on the ledger and visible to the tenant.
Review first
Check the period, the charges, any pro-rata, and the total. A draft is free to change; an issued invoice is not.
Approve
Click Approve. At that moment the invoice:
- gets its document number, in sequence with no gaps;
- lands on the ledger and appears on the statement;
- becomes visible to the tenant;
- shows as Issued.
An issued invoice is never edited. If it is wrong afterwards, you correct it with a credit note - the original stands and the correction sits beside it.
Approving is the moment the numbers become real. Spend the extra thirty seconds on the draft; it is cheaper than the credit note, the email and the phone call.
