Create a note template

Write text once and have it appear on statements or invoices, with details filled in per document.

Start: Settings›Notes Result: reusable text that appears on documents.

Use a template for anything you would otherwise retype - a payment reminder, banking details, a renewal notice. For a one-off remark on a single statement, add a note to that statement instead.

Steps

  1. Go to Settings›Notes.
  2. Add a note and write the text.
  3. Choose where it attaches - company-wide, a scheme, a unit, or a lease. A document gathers the notes from every level that applies to it.
  4. Choose when it appears - always, within a date range, for the next few documents, or when something becomes true (a lease ending soon, for instance).
  5. Use placeholders where the text should vary per recipient. The preview shows how it resolves.
  6. Save.

If a placeholder cannot be resolved for a particular document, the whole note is left off that document rather than printed with a gap in it.

Note text is frozen onto a document when it is issued. Editing the template later changes future documents and leaves issued ones exactly as the recipient received them.
