The Payments tab
Where bank statements come in, where every imported statement is kept, and where you see what each unit's tenant and owner owe.
Payments sits under Leases in the sidebar and has four parts.
Import
The one place a bank statement comes in, as the PDF your bank sends or a CSV export. See import payments. The Import payments button on the Leases page brings you here too.
History
Every statement you’ve imported, newest first, PDF and CSV alike: who uploaded it, the period, the opening and closing balance, whether it was proven against the bank’s balances, and how many payments it created.
Open one to see the original file beside the payments it created, each linking to its lease statement. That answers “where did this payment come from?” in one click.
An import you started but didn’t finish shows as Not finished, with Resume. Unfinished imports are cleared after 30 days. Recorded ones are kept, because they’re the evidence behind the payments.
Balances
One row per unit, with both sides of the unit’s money:
- Tenant balance: what the tenant on the current lease owes, or has in credit. A tenant who moved out still owing stays on the list until it’s settled.
- Owner balance (this unit): that unit’s running balance on the owner’s books. Positive means money is owed to the owner; negative means the owner owes you. An owner with three units appears on three rows.
These are exactly the figures on the lease statement and the owner statement, worked out the same way, so the two can never disagree. Click a balance to open its statement. Filter by scheme or owner, or show only tenants in arrears or owners who are owed money.
Templates
The statement layouts your company has taught, one per bank layout. Rename one, re-teach it when the bank changes its design, or teach a new one from a sample statement without importing anything. See teach a statement layout.
