Recording what came in, and what it settles. A payment reduces a balance — it is not attached to one invoice.

A payment settles a balance

A payment goes against the lease’s account, not against one invoice.

That is worth understanding, because it explains a lot of what you see on a statement. A tenant who pays R9,000 against R12,000 of charges has not “paid the rent and skipped the water” — they have paid R9,000 and owe R3,000. The system tracks the balance, and interest accrues on what is genuinely outstanding.

This mirrors how tenants actually pay: one EFT for a round number, not a line-by-line settlement.

Recording a payment

Two ways in.

By hand — date, amount, reference. Fine for a handful.

By import — upload the bank’s CSV. Domi Vera parses it, matches each credit to a lease, flags anything that looks like a duplicate, and shows you the result to confirm before anything is written.

How matching works

Every lease has its own payment reference, generated automatically and overridable. When a tenant uses it, matching is exact.

When they do not, the importer falls back to the tenant’s name, the unit and the amount — a best guess, presented for your confirmation rather than applied silently.

The single highest-value thing you can do for month-end is get tenants using their reference. Everything downstream — matching, allocation, interest, arrears chasing — is easier when the money arrives labelled.

Deleting a payment

You can delete a payment recorded in error. The balance and the interest both recalculate.

Deleting a payment raises the balance it had settled, so interest for the open period goes up accordingly. That is correct — the money was not there — but it will change figures a tenant may already have seen. Where a statement has been issued, its interest is locked and the correction shows going forward.

What a payment is not

Not a credit note — that corrects a charge, where a payment settles one.

Not a deposit — a deposit is held, not income, and is tracked separately.
