- Companies and usersEverything belongs to one company, and each person sees only what their role allows. Who sees what, and why.
- SchemesA scheme is a sectional-title development with a body corporate. Freehold properties do not belong to one.
- UnitsThe unit is where the money is anchored — one owner, one set of books, its own invoices and statements.
- OwnersAn owner holds one or more units and receives what they earn, less costs. The owner view is a roll-up of the units beneath it.
- Owning entitiesThe trust or company that legally owns a unit, as distinct from the person you deal with. One owner may hold property through several.
- TenantsA tenant is a person or company renting a unit. The tenant record outlives any one lease, and several tenants can share one.
- GuarantorsThe person or company standing surety for a tenant's obligations. Attached to a lease, not to a tenant.
- LeasesThe agreement tying a tenant to a unit for a period, at a rent. It is what billing actually runs from.
- Charges and charge templatesA template is the reusable definition kept on the unit. A charge is a real line on one lease. Editing one never changes the other.
- InvoicesA demand for a specific period. Draft while you check it, Issued once approved — and an issued invoice is never edited.
- StatementsA running account over time — everything charged, everything paid, and the balance. An invoice is one entry on it.
- Credit notesHow you correct an issued invoice. A credit note is a negative invoice that leaves the original standing.
- Payments and allocationRecording what came in, and what it settles. A payment reduces a balance — it is not attached to one invoice.
- DepositsMoney held against a lease, not income. It is tracked separately and settled when the lease ends.
- How late-payment interest worksInterest is worked out automatically, stays editable while it is provisional, and locks in when you send the statement.
- Notes and note templatesText that rides on a statement or invoice. Write it once and reuse it, or write it for one document only.
- LeviesBody-corporate charges on a sectional-title unit. Domi Vera reconciles them against the body corporate's statement — it does not bill them.
- Expenses and disbursementsWhat reduces an owner's payout — costs incurred on their behalf, your fee, and the payment you make to them.
